Abstract

This study analyzes the role of digitalization through the Visual Hotel Program (VHP) System in improving transparency and speed of procurement processes in the Engineering Department of HARRIS Hotel & Conventions Gubeng Surabaya. The research method uses a qualitative approach through participant observation and document analysis during a five-month internship. The results show that VHP significantly improves transparency through digital audit trails and multi-level approvals for Purchase Requests (PR), and accelerates the procurement process through efficient data input and real-time communication. The main challenge lies in the Store Request (SR) process which is still semi-digital. It is concluded that digitalization supports hotel operational resilience, with recommendations for full digitalization of SR, utilization of data analytics, and integration of advanced supply chain technologies such as blockchain and AI.
